    SUNDAY AFTERNOON NOTES

DECISION:  We are going with Canadian spellings.

BOOKLET:  First drafts have been done on some sections of the booklet.  All posted to wiki, ok to edit drafts directly there.  After we’ve polished it more will also send to Hi list for feedback.

TIMELINE:  Complete the hearts, images, and booklet by the end of August, preferably as much as possible before arriving at Bowen.

TITLE:  Send short-list of favourite ideas to the Hi list, with a link to the wiki for longer list of ideas and an invitation to Reply to All with more brainstorming.

HEARTS:  Sue & Tree are doing an integrated polishing round on the hearts.  Tree has started from the beginning and will get through at least “Not about You” by Friday, July 29.  Sue has started from the end and will get to at least “Opening and Welcome” by Sunday, July 31, as well as reviewing all of Tree’s by that night.  Tree will take a pass on all the rest before leaving on her bike trip (~Aug. 4).  Furthermore, Tree will aim to get the most current versions posted from Google back onto the wiki before leaving, and send out a request to the Hi list for feedback.

GRAPHIC DESIGN:  We have hired Janet Hager from Portland.  We met with her in person and she will be sending us a “positioning statement” as well as a contract.  We need to find out more about next steps and timelines with her.

CORE TEAM CALLS:  We have phone meetings set for:  Monday, Aug. 1 @12-1pm; Thursday, Aug. 18 @4:30-6:30pm; Tuesday, Aug. 23 @11am-12:30pm.  May be used for regular core team work (such as planning for Bowen), meeting with graphic designer, etc.

INTERIM DECKS:  Vine & Ethan both sent CSV files, many thanks for their work.  Vine’s was very clean and he’ll be sending us the Java “scraper” he wrote so that we can generate our own snapshot CSV files at any time--there was much jubilation!  Tree wants interim decks in time to bring to a workshop Sept. 9.  Plan A:  Vine refines his scraper to produce a PDF, print-ready file.  Plan B:  Dave asks Dan to do it, if he’s willing.  Plan C:  We hire someone to do it, estimate 6 hours of time at $15-20/hour.  Dave is willing to take the overall lead on the process of getting interim decks completed.

CORPORATE FORM:  We talked through some of the options and concluded that we probably do need to form some corporate entity in the US as that is where most of our transactions will be based.  Jim started to do a little research on Oregon.  Dave will take the lead on further research.  We want to make sure that whatever we come up with is well thought out, clear, and a good fit for our needs.  Sue is hoping we have clarity on this by late September.

FULFILLMENT:  Tree will take next steps on researching a few fulfillment options.  She will have another conversation with Paul, ask around in Eugene, and possibly inquire to NCDD.

BUDGET:  Dave is prepared to donate $5,000 and loan an additional $5,000 toward design and printing.  Tree is also willing to offer significant funding in some combination, she’s still reflecting on what exactly is the right fit for her.  Sue is willing to loan $2,000-3,000 if needed.  These would be zero interest loans.

BOWEN:  We’d like to know within the next week who is coming so we can get organized with food and so on.  Tree will ask Daniel, Sue will ask Dan & Kathy, Dave will ask Amy.

IMAGE SET REVIEW:  Sue & Dave went over the whole image set for balance.  Representation is good on age, gender, class, and setting.  People photos are 2/3 of the whole set; 17 are places, 12 are plants or animals.  Of the people photos, 1/4 (16) are only or majority people of colour and 46 are all or mainly White people.  Of the White people photos, 17 are in a group process, 17 are in other activities, and 12 are single people of unspecified setting.  No visible LGBT, no visible handicapped (other than the sign interpreter relation).  Most groups are racially segregrated:  either all one ethnicity or only one person of a different ethnic group.  When people of colour are shown, they are mostly Black.  We’d like more mixed ethnic diversity.  Overall, it’s sufficient.  Ideally we’d have more racially mixed groups, visibly handicapped, obviously LGBT, and more heavyweight people.

We’ve met our minimum bar.  Dave will post to Hi list and wiki in case anyone wants to propose a few.  We’ll send a message out over the NCDD list regarding the Listening picture.  We’ll resolve ties either using Vine’s new voting feature on the wagn, or on a call, or at Bowen.  At this point it’s good enough so we won’t let image searching slow down anything with the graphic designer, we could hand it off now if we had to.
